Introductions:

  • Leslie Abrams has been reappointed IRC Chair for the next year. Cheryl Siegel was thanked for her past service as Executive Board Liaison.

  • Marilyn Berger has been appointed the new Executive Board Liaison.


  • Executive Board Report from Marilyn Berger

    • The next deadline for special funding for publishing, surveys, etc., as well as for conference proposals is May 31, 1998.

    • The following ARLIS/NA Listserves are accessible: ARLIS-L, Committee-L, Group-L (& ARLISIRC-L), the latter three to respective committee members only.

    • The Executive Board is looking for a new web manager to succeed Ed Teague.

    • Committee Chairs and Conference Session Moderators were urged to attend the Leadership Breakfast coordinated by Mary Graham held Tuesday, March 10 at 7:30-9:30 a.m. ; Chapter Officers were urged to attend the Chapter Officers Breakfast held Monday, March 9 at 7:30 9:00 a.m.

    • The Management Calendar, Strategic Plan, and other administrative documents are available on the Society's web site.


    Business:

  • The 1997/98 Annual Report has been completed and distributed to committee members and is still open to last minute changes. Leslie Abrams thanked committee members for their involvement with the report.

  • ARLIS/NA Affiliates:

    Leslie Abrams expressed her confidence that the three organizations, JADS, AKMB, and the Sous-section des Bibliotheques d'Art will be approved for official affiliation.

    Candidates for future affiliations include ARLIS/Nederland, the Moscow art libraries group, and the Italian art libraries group. Jeannette Dixon expressed a desire to make approaches to ARLIS/Nederland in particular, which is a highly organized group, in the next year. It was decided that the Executive Board Liaison would approach the current ARLIS/NA President about beginning formal relations with the ARLIS/Nederland. Jeannette Dixon will also informally approach Geert-Jan Koot about his discussing the affiliation with the membership of ARLIS/Nederland. Renata Guttman suggested that the group that sponsored the 1996 Trieste conference be contacted, and volunteered to investigate this connection. Ed Teague emphasized that affiliations may be with organizations other than art library organizations.

  • Foreign Conference Attendees:

    Assuming the affiliations are approved, new affiliates will be distributed material on the next annual conference in Vancouver.

    The idea was expressed that efforts should be made to communicate to representatives from foreign affiliate organizations--as well as other librarians from outside North America--attending ARLIS/NA conferences that the IRC committee meeting is open to them and that the IRC will function as a kind of home group for them at the conference. For the current meeting a cocktail time was improvised for 4:30-6:30 p.m., Monday March 9.

    For next year a similar forum will be considered to provide a place to exchange ideas in a context less formal than a conference session.

    Ed Teague indicated that the ARLIS/NA President could distribute an invitation to special international ARLIS/NA conference events in the welcome letter that goes out to affiliates.

  • Vancouver Conference

    Leslie Abrams asked whether anyone had any ideas about increasing Pacific Rim awareness at the Vancouver conference. Thomas Hill suggested we look into a grant proposal to bring Japanese and possibly other Pacific Rim librarians to the conference. Leslie Abrams & Judith Herschman will work on a grant proposal, and contact Sheila Klos about the grant proposal to the Getty Foundation which brought Eastern European librarians to the San Francisco conference.

    Interest was expressed in having affiliate representatives to future ARLIS/NA conferences report on their own national developments. For the Vancouver conference an ASK ARLIS session was suggested as a vehicle for this. Thomas Hill will help Jeannette with the planning for this.

    The question was broached about having ARLIS/NA funding provided for affiliate representative travel for future ARLIS/NA conferences. Jeannette spoke eloquently about the need to subsidize foreign speakers for future conferences to foster outside awareness and growth within the organization. Ed Teague suggested that we lobby to make an exception to the general rule for foreign speakers speaking at plenary session that speakers are not subsidized. It was pointed out that subsidies need not be full for full conference expenses. Marilyn Berger will bring this matter to the Executive Board.

  • IRC Webpage:

    Renata Guttman was thanked for her excellent work on the IRC web site. It was reported that the IRC site is now linked to the ARLIS/NA web site. A suggestion was made to list affiliates and affiliate web sites, as well as the IFLA SAL Directory to the IRC web page. Leslie Abrams commented on how efficiently the web site will serve to fulfill the Committee's strategic obligation to track and communicate affiliate organization activities to the membership. Jeannette Dixon suggested that a message be posted on the page inviting foreign attendees to the upcoming Vancouver conference to attend the IRC meeting and informal get-together next year. Paper calls for IFLA and other conferences are also posted. IRC members are invited to send Renata international news for posting. Jeannette will send Renata accepted SAL papers for the Amsterdam conference to be posted, as well as announcements for special art tours. Jeannette volunteered to post a message regarding the IRC site (including the URL) in the upcoming IFLA Newsletter before the next deadline (April 1). Ed Teague suggested that the URL be cited one level back into the ARLIS web site (committee site), where the link back to the ARLIS/NA home page is obvious.

  • IFLA Report by Jeannette Dixon

    The 64th IFLA General Conference will be August 15-21, 1998 in Amsterdam. Planned are an open session with 3 speakers, 2 talking about their collections and the third on influences of Japanese art on Dutch art. There will also be a workshop at Rijksmuseum covering six topics, including one on censorship in art libraries in the former Soviet Union, and one on the art librarian as curator. Also scheduled are a tour of libraries in the Hague, and a Rijksmuseum tour, which will include a reception and demonstration of ARIA. National Reports will be given at the Standing Committee meeting. These reports will also be published in the next IFLA SAL Newsletter.

    The Fundação Calouste Gulbenkian Art Documentation Advising Committee is sponsoring a meeting of the Art Documentation Advisory Group to advise the Art Section of IFLA on future directions at an upcoming meeting in Lisbon, May 29-June 2, 1998.

  • Strategic Plan:

    Although much progress is being made toward reporting on affiliate activities and monitoring organs of information with the new web site, Jeannette Dixon indicated that more might yet be done. The problem of having affiliate publications and materials, including ballots, not being forwarded to appropriate individuals upon receipt by IFLA Headquarters will be investigated and corrected.

    Ed Teague suggested that bibliographic citations for important materials received from affiliates be posted on the IRC web site, and Thomas Hill suggested that we also keep in close communication with the bibliographic editor of Art Documentation for cross posting of international professional information.

  • Satellite Conference Planning for Boston 2001

    Report by Carol Terry on Chicago 1985 IFLA Section of Art Libraries Satellite conference:

    Carol reported on her activities as Chair of the Local Arrangements Committee. She indicated that her committee had secured a local designer for stationary, brochures, and name badges. 88 people attended the pre-conference and 39 stayed on for the General Conference. The pre-conference organizing committee itself was a subcommittee of the IRC, with Bill Walker as Chair. Carol's committee was composed of Chicago ARLIS/NA members. They secured sponsors, and ARS LIBRI did a reception at the MCA. ARLIS/NA Midstates also sponsored receptions. There were also other events and luncheons. The most problematic aspect of pre conference preparation was translation and photocopying. IFLA helped with the photocopying, which cost $525. Printing & Stationary costs were $1400, bringing total expenses to $1925. The satellite conference was two days, Thursday evening through Saturday. Local art library tours were arranged.

    Sarah Dickinson has agreed to be the chair of the IFLA Boston Satellite Meeting Committee. Jeannette passed out IFLA guidelines on Satellite meetings. IFLA will only pay for advertising for the Boston Satellite Meeting; ARLIS/NA is responsible for everything else. ARLIS HQ will not be involved, although they were involved in Chicago. Translation can be informal at sessions. At this stage it is important to get to IFLA A.S.A.P. the dates and a general outline of conference activities for early publication and advertising, since they like to work well in advance of an event. IRC were supportive of doing a two day conference similar to the meeting in Chicago in 1985, and expressed unanimous enthusiasm about the prospects for an exciting Satellite Meeting.

    A committee will be established to organize the Satellite Meeting. Roger Lawson is taking the initiative to put together a Boston centered group. The IRC will have some role in conference organization. Sarah Dickinson of the Boston Architectural Center is also helping with the early arrangements.
